How we collect, use and protect your personal information.

Who we are
This website is operated by Quality Kiwi Carpentry Ltd, a company registered in England and Wales under company number 14786705, with its registered office at 276 Peterborough Road, Carshalton, England, SM5 1DN. We are the data controller responsible for your personal data. You can reach us by phone on 07548 132715 or by email at qualitykiwicarpentry@gmail.com.
The information we collect
When you contact us through the enquiry form, by email or by phone, we collect the details you choose to give us. This typically includes your name, phone number, email address, the address where the work is to be carried out, details of the work you are enquiring about, arranged/preferred dates, and any photographs or information you send to help us understand the job. We only collect information that you provide to us directly. We do not buy or obtain personal data about you from third parties.
How we use your information
We use your information to respond to your enquiry, to arrange and carry out a site visit, to prepare and provide quotes, to carry out work you have asked us to do, and to keep in touch with you about your project. We also use it to keep proper business and accounting records as we are required to by law. We do not use your information for marketing unless you have specifically asked us to, and we do not sell or share your information with anyone for their own marketing purposes.
Our lawful basis
Under UK data protection law we rely on the following grounds for processing your data. Where you have made an enquiry, we rely on taking steps at your request before entering into a contract. Where we are carrying out work for you, we rely on the performance of our contract with you. Where we keep records for accounting and tax purposes, we rely on our legal obligations. Where we keep your details to follow up on an enquiry, we rely on our legitimate interest in running and growing the business.
How long we keep it
If your enquiry does not lead to work, we keep your details for a limited period in case you get back in touch, and then delete them. Where you become a customer, we keep records relating to the work and payment for at least six years, as required for tax and accounting purposes by HMRC, and to cover any questions about the work during the guarantee period. After that, records are securely deleted or destroyed.
Who we share it with
We keep your information confidential and only share it where necessary to run the business. This may include our accountant and HMRC for tax and accounting purposes, and trusted tradespeople (such as a plumber or electrician) where their work is needed to complete your project, in which case we only share what is necessary. We also use service providers to operate this website and handle enquiry emails, including Vercel, which hosts the site, and Resend, which delivers the enquiry form emails to us. These providers process data on our behalf under appropriate agreements.
Cookies
This website does not use tracking or advertising cookies. Any cookies present are limited to those strictly necessary for the site to function.
Your rights
Under UK data protection law you have the right to ask us for a copy of the personal data we hold about you, to ask us to correct anything that is inaccurate, to ask us to delete your data where there is no good reason for us to keep it, to object to or restrict how we use it, and to ask us to transfer it. To exercise any of these rights, contact us using the details above and we will respond within the time allowed by law.
Complaints
If you are unhappy with how we have handled your personal data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
